POSITION RESPONSIBILITIES
Blackboard's Sales Operations team provides the backbone support for the sales and services organization. Our team reviews all orders requested by sales and services to ensure financial control. This position is an associate-level position with primary responsibility for sales-related items that affect billing, revenue, and financial metrics. This position also has primary responsibility for company renewal record maintenance and analysis. Our team works in a dynamic, fast-paced environment, and interfaces directly with sales, services and clients to review, maintain and ensure financial accuracy and data integrity of our CRM system.
The Specialist will play an integral role in the success of the group. Specifically s/he will:
- Ensure that outstanding financial and administrative controls are maintained by reviewing sales deals and checklists, ensuring that pricing, discounts, promotions, and proposals are handled in accordance with internal guidelines.
- Transaction Focus:
- Provide assistance and/or make decisions about contractual realignments and invoicing modifications, based on a sound working knowledge of revenue/business model and the Bb product and services offerings as well as good familiarity with the details of the global client base.
- Ensure all new and renewal transactions are processed for accurate and timely billing and license fulfillment.
- Work closely with and in support of a specific sales region to process deals.
- Information Source:
- Respond to all customer requests professionally, completely, accurately and with the highest urgency.
- Be the authoritative source on existing customer and contract detail and its implication for follow-on sales.
- Act as a resource for sales team members related to quote- and deal-building and other Peoplesoft functions
- Work with global client base and sales team members to maintain renewal records, answer questions, problem-solve and trouble-shoot client issues.
- Coordinate communication campaigns around renewals - work with marketing and sales to help funnel qualified leads.
- Work across various departments in finance to help manage the sales lifecycle as it relates to existing and future renewals.
- Forecasting, Reporting and Metrics:
- Maintain accurate forecast and analytical information for new and renewal sales
- Provide analytics that compare actual renewals against renewal pools. Be prepared to provide explanations of variances from renewal pools.
- Help maintain company renewal rate metrics
- Assist with monthly reporting requirements supporting assigned sales areas and overall team
- Be familiar with Contract Value calculations and be prepared to provide explanations of variances from planned values.
- Process:
- Work to improve overall process across the functional areas that impact sales, billing, and revenue.
- Data Maintenance
- Maintain database of all renewal records, including pricing, contract terms, agreement status metrics, payment status, etc.
- Assist with data and systems maintenance initiatives, including cross-system maintenance, data cleanup, part numbers, new product coordination, etc.
- Create and incorporate ongoing renewal records from new sales database
Required Experience PROFESSIONAL QUALIFICATIONS
REQUIRED SKILLS:
- Bachelors degree required, business concentration preferred or equivalent experience
- Knowledge of Microsoft Office required, intermediate/advanced Excel skills a must
- Strong analytical, research and problem-solving skills
- Exceptional communication and email management skills
- Ability to work in a team environment
- Strong attention to timeliness and detail
- Ability to manage, analyze and track data for a sophisticated and often complex sales process

PREFERRED SKILLS:
- Familiarity with Peoplesoft is a plus
- Previous experience in sales support functions
- Multi-lingual skills a plus
